Balancing logistics with emotional impact
Large-scale event management is where creativity meets precision – especially when delivering high-impact public experiences for multiple stakeholders. From government partners and production teams to audiences and community groups, successful event delivery requires more than logistics: it requires empathy, clear communication, and calm leadership under pressure.
At AD Media, we specialise in end-to-end event planning and on-site delivery for public events that need to land with meaning, not just momentum.
The events space is one that is consistently pivoting, updating and reinventing itself. Blending creativity with meticulous organisation and a LOT of moving parts, event management sits at the intersection of clients, guests/community members, and multiple teams.
It’s been said that the art of event planning involves both creativity and empathy, allowing each decision to reflect the desired atmosphere and ‘personality’, if you’d like, sought after by all involved.
Upholding standards of:
- Listening first: Understanding client expectations and audience needs
- Balancing logistics and aesthetics: Blending functionality with visual appeal.
- Creating emotional impact: Ensuring every element, from lighting to layout, contributes to the story.
True artistry in event planning lies not just in execution but in connection, the ability to make everybody involved feel part of something memorable and meaningful.
AD Media is proud to announce our contribution to Cricket Australia and the NSW Premier’s Department in the organisation of the Bondi tribute to acknowledge some of our first responders on the stage of the SCG New Year’s Test Day 1 (Jan 4, 2026). Featuring first responders, survivors, heroes, all including:
- Paramedics Brett Simpson and Andrew Bibby
- Police officers Cole Shanahan and Paul Drinias
- Doctors Matthew Oliver (Royal Prince Alfred Hospital) and Rachael Wilkes (St Vincent’s Hospital)
- Lifeguards Leah Trend, Scott Gibbons, Daniel McLaughlin and Jackson Doolan
- Nurse Naomi Or
- SES chaplain Vladimir Kotlyar
- Local heroes Chaya Dadon, a 14-year-old who shielded other children with her body during the attack, and Ahmed al-Ahmed, who wrestled a gun away from one of the shooters.
Ad Media founder recently worked on the planning and organisation behind the Bondi Terror Attack community event ‘Light over Darkness’.
“I didn’t give it a second thought”, Sarita said to the Australian Financial Review, when asked about her unplanned return from Avoca beach at 6 am when phoned by the head of the NSW Jewish Board of Deputies, CEO, Michele Goldman.
“Being part of the event has been a deeply enriching experience, and has only strengthened our capacity to support and manage wide-scale, high-impact experiences for multi-stakeholder purposes.
“Empathy turns a crowd into a community. It’s the difference between managing an audience and hosting humans.”
Leading with empathy and channelling the sentiment of all attachments, a level of emotional intelligence and technical precision must juxtapose, in the sense that decisions must be made in calm confidence to ensure execution, but resonate with us as the organiser and with those who take part. Responding effectively to challenges and support, even in the most stressful moments, may be the leading edge and, in turn, stipulate an authentic connection between us as organisers and stakeholders.
The ability to combine emotional understanding with practical execution separates good event managers from exceptional ones. It is this balance that ensures every event feels effortless, even when the work behind the scenes is anything but.
Powered by teamwork, instilling seamless coordination among technicians, security, entertainment, and designers, each individual’s collective vision is linked by an effective manager who supports alignment, unity, and purpose in cross-functional teams.
Maintaining modes, such as clear communication channels and consistent lines of messaging with shared platforms for a broader organisational scope, defined roles and responsibilities regarding confidence in unanimous contributions
At AD Media, we believe in the power of connection through targeted strategies with clear outcomes for our clients.
If you’re planning a large-scale public event, a community tribute, or a multi-stakeholder activation, AD Media can support end-to-end event management, logistics, and on-site delivery.
